Policy Alignment & Progress Tracking

Program policy was misaligned — contracts capped stays at 120 days, but participant-facing materials said there were no time limits. Staff had no practical system to track progress against the requirement.
Problem
Aligned deliverables with participant-facing policies, clarified upfront language to state the 120-day limit, and built a caseload spreadsheet to track each participant’s active days. Helped staff set clearer expectations and support timely exits.
Actions
Result: Participants began making measurable progress toward goals, staff could manage caseloads with clarity, and program outcomes improved without breaking compliance.

NOTE: While this solution was intentionally simple, larger organizations should integrate donation capture into central databases or CRMs. APIs and portals can be built to feed staff-entered data directly into the development system, reducing duplication and ensuring consistency across departments.
Inventory & Supply Management

Basic supplies (including food and operations items) routinely ran out early, with no system to predict usage or organize storage. Ordering was reactive and inconsistent.
Problem
Studied past orders to establish baseline needs, created a two-week inventory check cycle, and designed a categorized supply list. Organized shelves by type (food, cleaning, operations) to speed checks. Named the framework “PAR” (Predict, Align, Replenish).
Actions
Result: Inventory could be run quickly on a cadence, overspending dropped, and supply costs became predictable for the first time. Staff could project needs instead of scrambling.

NOTE: PAR systems scale well beyond food and toiletries. They can be applied to office supplies, equipment, or even tech resources. Because the PAR numbers can be reassessed periodically, the system is flexible and evolves with actual usage.
Donation Logging & Reporting

Donations were received but not consistently logged — values, donor info, and tax documentation were often missing, leaving staff scrambling at reporting deadlines.
Problem
Built a Microsoft Form for staff to log every incoming donation (with donor details and value), feeding automatically into a central spreadsheet. Linked the system to thank-you workflows and tax receipts.
Actions
Result: Donations were captured in real time, acknowledgements went out promptly, and leadership had reliable reporting data. Eliminated last-minute chases for donor or financial information.
